Privacy Policy

This Privacy Policy explains how Hot Shots Enterprises LLC, doing business as Hot Shots Batting Cages (“Hot Shots,” “we,” “us,” or “our”), collects, uses, shares, and protects information when you visit our website, create an account, register for camps, purchase pitching-machine credits, or otherwise use our services (collectively, the “Services”). By using the Services, you agree to this Policy.
1. Information we collect
We collect information you provide directly, information created as you use the Services, and a limited amount of technical information from your device.
Account information
When you create an account we collect your name (optional display name), email address, and a password (stored only as a secure one-way hash — we never store your password in readable form).
Camp registration and camper details
When a parent or guardian registers a child for a camp, we collect information the adult provides about the camper: name, date of birth, any medical or allergy notes, emergency-contact name and phone, and pick-up notes. We also record acceptance of the required liability waiver, including the signer’s typed name, the date and time, and the IP address used, as a record of consent.
Purchases and activity
We keep records of your transactions with us — pitching-machine credit purchases and balances, merchandise and concession sales, camp registrations, refunds, and related receipts.
Payment information
Card payments are processed by our payment processor, Stripe. Your full card number is entered directly with Stripe and is not stored on our systems; we retain only limited transaction records (such as amounts, dates, and Stripe’s transaction identifiers) needed to fulfill orders, issue refunds, and keep our books.
Communications
We use your email address to send transactional messages — receipts, account verification, password resets, and camp confirmations — through our email provider.
Technical and log information
Like most websites, our servers automatically record basic technical data such as your IP address, browser type, and pages requested. We use this to operate and secure the Services (for example, to prevent abuse and rate-limit sign-in attempts). We use cookies or similar browser storage only as needed to keep you signed in and to remember an in-progress registration.
2. How we use information
- Provide, operate, and improve the Services — accounts, bookings, camps, credits, and sales;
- Process payments, issue receipts, and handle refunds;
- Communicate with you about your account, purchases, and registrations;
- Maintain accurate financial and tax records (see the QuickBooks section below);
- Keep the Services safe and secure, prevent fraud and abuse, and comply with law;
- Provide camp staff with the camper details needed for care, safety, and check-in/out.
3. QuickBooks Online integration
We connect our own business accounting system, Intuit QuickBooks Online, so that our sales and financial records post automatically to our books. When authorized by us, the integration reads our QuickBooks account, item, and customer lists to map how sales are recorded, and writes sales receipts and journal entries (for revenue recognition and cost of goods sold) that reflect our transactions.
This integration operates on Hot Shots’ own QuickBooks company. We do not use it to access anyone else’s QuickBooks data, and we do not sell, rent, or share your personal information through it. Access is controlled by a secure authorization (OAuth) credential that we store in protected form and can revoke at any time.
4. Payment processing
Payments are handled by Stripe, Inc. Your payment-card details are collected and processed by Stripe under Stripe’s own privacy terms; we do not receive or store your full card number. Stripe’s handling of your information is described in Stripe’s privacy policy at stripe.com/privacy.
5. Children’s information
Our Services are directed to adults. Accounts may be created only by adults (18+). Information about children is collected only from a parent or guardian during camp registration, and is used solely to run the camp — care, safety, allergies/medical needs, emergency contact, and check-in/out. We do not knowingly collect personal information directly from children, and we do not use children’s information for marketing. A parent or guardian may review, update, or request deletion of their child’s information by contacting us (see below).
6. How we share information
We do not sell your personal information. We share it only:
- With service providers who operate the Services on our behalf, under confidentiality obligations — including Stripe (payments), Intuit / QuickBooks Online (our accounting), our email delivery provider (Mailgun), and our hosting provider (DigitalOcean);
- Camp staff and counselors, who receive the camper details needed to run the camp safely;
- When required by law, or to protect the rights, safety, and property of Hot Shots, our customers, or others;
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this Policy.
7. Data retention
We keep information for as long as your account is active and as needed to provide the Services, then for the period required to meet our legal, tax, accounting, and recordkeeping obligations.
8. Security
We use reasonable administrative and technical safeguards to protect your information, including encrypted transport (HTTPS), hashed passwords, access controls, and protected storage of sensitive credentials. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your choices & rights
- Access & correction — you can view and update your account and camper profiles when signed in, or ask us for help.
- Deletion — you may request deletion of your account or a camper’s profile; we will honor it subject to records we must keep for legal or accounting reasons.
- Email — transactional messages (receipts, confirmations) are part of the Services; if we ever send promotional email, you can opt out at any time.
